JOB RESPONSIBILITIES:

  • Global project and office administration management
  • Implementation of global project management systems and processes
  • Project reporting for all services teams
  • Management, development and alignment of all project and office administrators
  • Ensure consistent processes, standards across the group
  • Resourcing relief management e.g. planned or unplanned leave
  • Performance management of all project and office administrators
  • Global offices management
  • Offices leases management
  • Common procedures/standards in all areas
  • Co-ordination of office safety requirements including first aid kits, first aiders, fire wardens, building evacuation procedures, safety notice boards.
  • Travel management
  • Other office facilities
  • Accommodation houses/units, bookings, maintenance, inventory management, cleaning contracts, audits and inspections
  • Performance management and cost effectiveness of all office services contracts

JOB REQUIREMENTS:

  • Previous hands-on experience in project and office management
  • Proven experience in people management and effective team development
  • Strong communication skills with the ability to deliver process and procedures with clarity
  • Ability to communicate and work effectively with professionals from a variety of technical backgrounds and all levels of management and staff
  • A multi-tasker who can prioritise and perform in a busy work environment; excellent time management skills
  • Highly organised with an attention to detail and a high commitment to accurate work
  • Ability to work independently with a pro-active and common-sense approach to problem solving.
  • Discretion in handling confidential information
  • Excellent written and verbal English
    Computer literacy: MS Word (intermediate); MS Excel (intermediate); MS Project (advanced); MS PowerPoint (intermediate); Open Office (preferable)
  • Experience working with overseas offices will be highly regarded
