  • Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; compiling, composing and preparing reports / statistic / analysis / presentation as well as correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Successfully completes critical aspects of deliverables with a hands-on approach, including personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company
  • Prepares for meetings including ordering lunch, booking conference rooms, setting up projector or video conferencing units and etc
  • Provides administrative support to the Management Team in travel arrangement, meeting
  • To maintain and organize the CEO’s diary, filing system and all other relevant areas as necessary
  • Service existing accounts, obtains orders and establish new accounts by planning and organizing daily work schedule
  • To work closely with and maintain an excellent business relationship with current and new customers
  • To prepare and monitoring the sales contract
  • Manage the sales order and process into SAP i.e. create sales order
  • Follow up closely on sales enquiries & coordinate with production team, supply chain teams and customers
  • Follow up customer order and liaise & coordinate with other departments to ensure timely deliver
  • Follow up and collect payment from customers based on credit term applied at a timely manner
  • To compile/manage export documentations i.e. preparation of shipping documents and relevant export license/certificate. Monitor shipment status and provide timely updates to Customer
  • Monitor and liaise with the production team on inventory/stock level/production output of by-product
  • Assisting in implementation of sales strategy and promotion set by the company
  • Conduct market research, identify opportunities and monitor development trends of market and feedback to the management
  • Adhere to company policies, procedures and in alignment with the business strategies and objective
  • To perform and discharge promptly and efficiently any other duties and responsibilities as and when assigned by immediate superior


  • Minimum a Diploma in any field or equivalent
  • Strong work tenure: 5 to 10 years of experience supporting C-Level Executives
  • Knowledge of office management systems and procedures
  • MS Office and English proficiency
  • Knowledge of SAP is an advantage
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communication skills
  • Very strong interpersonal skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
