COMPANY OVERVIEW
An established semiconductor company in Petaling Jaya is seeking a dynamic HR & Admin Executive to manage comprehensive HR and administrative functions. This role ensures smooth office operations, accurate payroll processing, statutory compliance, and effective employee relations, including expatriate welfare and contract administration.
JOB RESPONSIBILITIES
Human Resources
Manage daily HR operations and provide guidance to staff.
Handle end-to-end recruitment, onboarding, and exit procedures.
Administer payroll and statutory reporting (EPF, SOCSO, EIS, HRDF).
Maintain accurate employee records and HR documentation.
Coordinate training, development programs, and staff welfare initiatives.
Manage employee insurance, claims, and attendance records.
Liaise with Accounts for payroll inputs and reporting.
Calculate monthly income tax (PCB) for local and expatriate staff.
Liaise with LHDN and tax consultants on CP21, CP22, EA forms, etc.
Support performance reviews, training, and engagement activities.
Prepare company circulars, memos, staff letters, and internal/external surveys.
Prepare the annual company calendar and participate in committee projects.
Expatriate Management
Handle employment pass applications, renewals, and documentation (EP, DP, Student Pass).
Coordinate onboarding, relocation, and welfare for Japanese expatriates.
Manage Japanese Association memberships and tenancy arrangements.
Oversee repatriation, tax clearance, and relocation processes.
Handle embassy translations and related documentation.
Administrative Support
Provide general administrative and clerical support.
Oversee office maintenance, cleanliness, and facility management.
Manage office supplies, service contracts, and vendor coordination.
Prepare and distribute reports, documents, and correspondence.
Support travel arrangements, visa applications, and accommodation bookings.
Assist in organizing meetings, events, and company functions.
Manage incoming/outgoing mail and documentation.
Contract & Compliance
Monitor contract renewals and updates; review agreements and communicate changes.
Manage approval and signing procedures.
Maintain contract records in the Access System and filing system.
Ensure compliance with statutory regulations and internal policies.
Compute sales incentives and assist in corporate tax payments.
JOB REQUIREMENTS
Diploma or Degree in Business Administration, Human Resources, Management, or a related discipline.
Strong communication and negotiation skills
Dual focus and interpersonal skills for working with local and expatriate staff
Familiarity with Employment Act, PDPA, and personal tax regulations
Proficient in Microsoft Office and HR/payroll systems
Understanding of statutory requirements
Excellent organizational skills with strong attention to detail.
Effective communication skills in both English and Malay; proficiency in additional languages is an advantage.
Ability to manage multiple tasks efficiently and meet tight deadlines.
