Job Description:
- Managing the Administration Tasks of the Day to Day Office work related and unrelated to case management.
- To support the quality and efficiency of the work of the office and its team and provide admin help and support where needed.
- Responsible for maintenance of office equipment (copier, fax, shredder, etc.) and operating the repair/support services when necessary.
- Manage all Filing Duties.
- Support in all Procurement duties.
- Support SG Head of Operation in all projects
- Greeting visitors, answer the incoming telephone calls and taking notes & action.
- Organize and maintain diaries, including travel arrangements, staff meetings and other events.
- Handle all relevant mail correspondence, archive and office supply activities in a timely manner as per the company's SOP and service level act.
- Supervise ordering of supplies, stationery, equipment, furniture and fittings.
- Arrange meetings, booking meeting rooms, drivers, travels etc.
- Manage Post & Couriers.
- Support compliance with legislation relating to security, information security, and safety.
- Ensure that premises and staff insurance are maintained.
- Ensure adequate cleaning, maintenance, safety, fire prevention and general security for the premises.
- Provide staff training in necessary areas of maintenance, safety, fire prevention and general security of the premises.
- Work with the building manager to arrange the repair, replacement, and decoration to maintain good order of the premises and fixtures.
- Liaise with suppliers of IT and telecoms to ensure smooth running of the service.
- Trouble shoot with assistance from support services.
- Coordinate needs with Head of Operations, Global IT & IS Manager.
- Manage the office according to aims and objectives agreed with the Global & Local Management and approved by them.
Job Requirements:
- Candidate must possess at least a Bachelor's Degree, Post Graduate Diploma, Professional Degree, Economics, Human Resource Management, Business Studies/Administration/Management, Commerce or equivalent.
- At least 5 year(s) of working experience in the related field is required for this position.
- Applicants must be willing to work in KL Center.
- Preferably Senior Executives specializing in Clerical/Administrative Support or equivalent.
