Job Responsibilities:
  • Overseeing, managing, and providing support for the day-to-day activities of administrative departments (human resources and general affairs) and sales administration departments (including trade affairs) across Singapore, Thailand, Malaysia, Vietnam, and the Philippines.
  • Developing and executing human resource plans, driving organizational reforms related to human resources.
  • Evaluating system design, planning, and presenting proposals to the company.
  • Collaborating with MD in responding to inquiries from the head office (Japan) to Southeast Asian countries.
  • Communicating new directives from the head office and MD to all offices.
  • Handling recruitment processes (across all departments), conducting interviews, issuing offer letters, and managing employment confirmation documents (typically less than 10 people per year).
  • Proficiency in import and export procedures and sales support.
  • Budget and expense management.
  • Coordinating arrangements and creating new stock codes.
  • Managing IT-related matters from the head office to group companies (e.g., purchasing new PCs, handling arrangements, and applying for email accounts).
  • Organizing monthly meetings for the company, sending MS Teams invitations.
  • Reviewing and enhancing management systems, policies, and procedures as needed.
  • Assisting in the preparation for ISO and GDPMDS audits.
  • Undertaking special duties as assigned at any time.
Job Requirements:
  • Bachelor's degree in Business Administration, Human Resources, or related field. 
  • Minimum of 8 years of experience in administrative management, with a focus on human resources, general affairs, and sales administration.
  • Strong verbal and written communication skills, with the ability to coordinate effectively with the head office and teams across different countries.
  • Proven track record in reviewing and enhancing management systems, policies, and procedures as needed.
