JOB RESPONSIBILITIES
- Oversee office administrative tasks such as managing the attendance system, updating staff information, and coordinating seating arrangements
- Handle various external communications, including liaising with management offices, coordinating with courier companies, and managing relationships with service providers such as cleaning companies and Coway
- Responsible for managing company assets, including access cards, keys, company credit cards, and overseeing the usage of the company phone line.
- Facilitate staff administrative tasks including newcomer preparation, staff onboarding, travel arrangements, company events, and employee appreciation gestures.
- Coordinate logistics for business travel, compute daily public transport costs, and oversee arrangements for staff-related events and occasions.
- Oversee procurement tasks, including managing office supplies, stationery, office lighting, cleanliness, and first aid/safety equipment distribution, as well as organizing office pantry supplies.
- Handle the compilation and submission of bills and invoices for concur, along with the consolidation and update of petty cash payments.
- Coordinate with recruiters on candidate interview arrangements, follow up with managers on interview evaluations and feedback, and assist with reference checks.
- Assist in various ad-hoc assignments as required.
JOB REQUIREMENTS
- Minimum requirement of a Diploma in Business Administration or a similar field
- At least two years of experience in an office administrative role
- Proficiency in English, Mandarin, and Bahasa Malaysia, with the ability to write in both English and Bahasa Malaysia
- Basic knowledge of SharePoint is preferred
- Strong communication and multitasking abilities, with a demonstrated capability to collaborate and work with individuals across all levels.
